Use Case

Like many nursing programs, Galen must ensure every student meets clinical site requirements before entering patient-care environments. That readiness includes background screening, drug screening, and immunization and document compliance, all while maintaining a high standard of patient safety and protecting clinical partner relationships.

Galen also operates in a complex environment where requirements vary by state, by facility, and sometimes by federal expectations. In practice, this often forces institutions to default to the most restrictive standard to ensure universal compliance, adding more tracking complexity and administrative workload.

Challenges

Galen’s team faced a workflow problem that showed up everywhere: students were being asked to enter and upload or enter duplicate information into three different systems, creating confusion, frustration, and missed deadlines. Galen was working with five different scheduling software, including some locations' homegrown solutions. This duplicate effort contributed to delayed readiness, increased support tickets, and avoidable bottlenecks.

At the administrative level, compliance data was difficult to validate quickly and consistently. Document review could take too long for students on tight academic calendars, and staff sometimes had to dig through files or systems to produce what clinical partners needed. The result was an inefficient process that could delay placements and create strain with clinical sites.

Finally, Galen needed stronger safeguards against fraud and compliance risk. Schools face a growing reality of falsified records and a downstream impact if anything slips through, risking students, patients, the school, and clinical partner relationships.

Solutions & Outcomes

PreCheck partnered with Galen to streamline clinical readiness through StudentCheck, focusing on reducing fragmentation, improving accuracy, and accelerating turnaround. A key improvement was enabling integrations and data flow so students and staff were not re-entering the same information across multiple systems, reducing duplicate touchpoints and administrative overhead.

For example, one student was caught falsifying certification dates on a record; another was found to have a critical felony that would prohibit the student from ever being able to join the nursing program. The previous vendor did not catch it, and PreCheck did. This reinforces the trust Galen must maintain with clinical partners and supports the patient-safety rationale behind compliance requirements.

Operationally, the partnership centered on faster processing expectations and better communication to students, including meeting students where they are with more effective reminders and modalities than email alone. Combined with improved reporting, these changes helped Galen deliver a smoother student experience while maintaining compliance rigor across a large, multi-campus environment.
